Remote work access guidelines and best practices: * 2 Factor Authentication enabled for email and other sensitive applications. * PCs need to be on Windows 10 with fully updated security patches and Macs should be on OS 10.12 (Sierra). Avoid using public Wi-Fi, and connect via a business-grade VPN connection or approved alternative like LogMeIn, Teamviewer, Splashtop, etc. Incognito browsing is also advisable. * Up to date AntiVirus subscription and requirement to pass a MalwareBytes quick scan to ensure company and employee owned computers are virus-free when accessing your network. * Password protected with a strong password of at least eight characters, a special character, and a capitalized letter. Ideally, data on remote systems is backed up if any important files aren't being saved back to the server. * If it's a shared computer, be sure to log out of all email sessions and any other applications with sensitive info. Make sure you're locking your screen after completing your session. * Be wary of "news" websites, email attachments, links, or responding to any emails or email senders you do not recognize or that look odd or suspicious; when in doubt, contact the sender directly using another form of communication. because you will see a lot of emails about COVID-19 or Coronavirus because hackers are capitalizing on our collective fear. Continue to observe all company policies and procedures, particularly any involving financial or money transfer outside of the company; hackers typically use the "urgency" of a situation or "crisis" to encourage employees to break protocols, often to the detriment of the business. For your email marketing, whether you're using WebbMail or another email marketing service, you want to evaluate your subscribe forms to ensure they comply with the consent principles encapsulated in the GDPR. Ask yourself these questions : * Have I made it clear to the Subscriber what informa...tion I am collecting * Have I made it clear to the Subscriber why I am collecting that information? * Am I collecting more information than I need? (EX: If your subscriber is signing up for a newsletter-- do you need information about that subscriber’s gender to fulfill your stated purpose?) It's a good idea to add a subscriber consent checkbox to your email signup forms. Also state that they can easily unsubscribe from your mailing list at any time, as well as how often you'll be emailing, and about what. Even better is to give your subscribers options for what they want to hear from you about. For example: special offers; weekly newsletters Some folks are reluctant to do more than ask for the email address; they don't like the idea of that extra consent step or letting people know upfront that they can opt out. My response to that is that you'll build a better relationship with your subscribers by letting them know up front how often and about what topics they'll hear from you, and that it's easy for them to opt out. The extra consent checkbox? It's an easy thing for your subscribers to check. Follow through with relevant content.... It all starts with permission. When you have a permission-based relationship, people expect you to communicate with them via email. Getting permission establishes trust, brand recognition, and value that goes beyond simple transactional communication. To put it bluntly, buying email lists might seem like a quick fix, but it won’t work in the long run. Along with getting permission, setting the right expectations from the outset goes a long way. Your first interactions with a new subscriber will set the tone for everything else you do down the road. During the signup process, provide clear information about what they can expect in terms of email frequency, what kind of content you’ll send, how you’ll protect and use their data, and the identity of the sender (the from name if it’s something other than your brand name). Don’t fight the tabs by trying to dupe ISPs into placing your promotional message where it doesn’t belong. Your recipients won’t hesitate to flag any promotional message that doesn’t meet their expectations or align with their interests, even if they DID invite you into their inbox. So pay attention to their interests and send accordingly. Plus, consistently sending relevant, engaging content will likely lead to solid open rates and an equally solid sender reputation.
