Want a quick snapshot of what’s going on in your company today? Click on the blue Dashboard button at the top of your main admin menu and you’ll see: Each pool cleaning, service request and work order scheduled today by route, and the status of each job. For each job completed today you can see all the service information entered and any photos taken at the job site. The number of service requests added today, and the total number of new and old service requests not yet... scheduled. The number of work orders waiting to have an estimate created, waiting for approval, and already approved. The number and dollar amount of unpaid invoices by aging category. See more

We are excited to announce the following new features in our pool tech app: Time Clock - Techs can clock in, clock out, and record breaks, and you can run time sheet reports. Pool Condition on Arrival - The tech can log the condition they found the pool in when they arrived.... Weather Condition on Arrival - Techs can log the weather condition. Upgraded Note/Alert feature - The notes and alerts to the customer feature has been expanded to make it easier for the tech to select or enter one or more notes/alerts. Upgraded Service History - The tech can easily select and see the details for any visit in the last two years for the pool he is at. Weekly Chemical Test Schedule - If you want to schedule which chemical tests are done in different weeks during a month, you can now do so.

When you edit a work order in HydroScribe and add new labor tasks, you may want the new tasks to appear before or in between existing tasks. How can you arrange the tasks so they are shown in the order that you want the tech to do them? Here's how: 1. Open the work order, scroll to the bottom of the page and click the Labor button 2. Scroll to the bottom of the page and click a task name. Select a number that represents where in the list this task should appear. For example, if you want it to be the third task, select 3 and click Submit. 3. Do this for all the tasks and they will be displayed in that specific order.

When you want to find/update a group of customer accounts in HydroScribe, use the mass find/update feature for a quick and easy solution. For example, suppose you have a group of customers who aren’t currently notified after service, and you want to start notifications. The way to accomplish this is to do the following: 1. On the horizontal menu bar, roll over Accounts and click Manage Customer Accounts. 2. In the "Find Accounts that are.." field (above the Search box on the ...left), select "NOT Notified After Service" from the drop-down list of options and click the Find button. 3. You will get a new screen showing the list of customers who are currently not notified after service. In the "Update Accounts Below to.." field select "Notified After Service." 4. Click the All box (or the check boxes for the accounts you want to update) and click the Update button. You can use this tool to find/update accounts based on lots of different account settings.

HydroScribe can now automatically schedule maintenance jobs (like filter cleanings) at the frequency you choose. Previously, the system added the job to your UnScheduled Service Request list where you would manually schedule it to a tech's route. That step can now be eliminated as follows: 1. Go into a customer account profile and scroll to the Customer Pool Equipment section. 2. Click the Add button and fill out the form. Be sure to enter the Service Frequency, Next Servic...e Date, Route, Preferred Time of Day, Task List and optionally a Commission Type. 3. HydroScribe uses these values to automatically schedule the job to the tech's route on the day the work is to be done and updates the Next Service Date so the process is repeated the next time the job needs to be done. Want to be notified when a tech records chemical test results that exceed certain limits? Here's how to set it up in HydroScribe: 1. On the gray navigation bar, roll over Preferences and click "Chemical Settings" 2. In the "Send an alert?" field, select a Yes option 3. In the remaining fields, enter the high/low limits for the test results you want to monitor. If you don't want to monitor a chemical test, leave it blank. If you don't want to monitor a low or high limit, leave... it blank. Make sure the system can communicate with you: a. On the gray navigation bar, roll over Preferences and click "System Settings" b. To be notified by email, make sure your email address is in Message Email 1, 2, 3 or 4. If you want to receive text messages, make sure your cell number is in a Message phone field and that you've selected your phone service in the appropriate Phone Carrier field.
