POSITION SUMMARY The Office Administrator/Lab Assistant is responsible for providing overall office administrative support to the organization and assist with lab functions as assigned. Answer phones and direct to appropriate personnel, take messages, etc. Respond to emails and prepare documents, including office correspondence. Trucking/Visitor reception (making sure all truckers/contractors/visitors sign-in). Receive and log invoices received via mail/email/fax, forward to Plant manager for approval, and redirect to Accounts Payable Department. General office duties including but not limited to: Filing documents, making copies for production, ensuring document completion of paperwork submitted by employees, ensuring paperwork is submitted in the appropriate timeframe. Ordering materials as needed for production/laboratory/office. Write up inventory reports by the end of each week and send to corresponding owners. Trucking/Visitor reception (making sure all truckers/contractors/visitors sign in). Shipping and Receiving duties- including but not limited to: scheduling, making sure we are not overbooked for shipping/receiving in any individual day, making sure all finished product has been approved and cleared by Quality Department prior to shipping material, assigning lot numbers and pallet numbers to orders received, making sure appropriate paperwork is prepared for shipments, making sure seal #s match BOLs, seal placement, and ensuring seals are intact upon receiving, making sure raw material is weighed at appropriate scale location if receiving from out of state. Order Receiving- once an order is received, checking with production and quality departments for availability of finished product. Provide timeframes to customers after inquiring with management. Serve as backup staff for laboratory routine testing (including but not limited to and upon completion of training: tap testing, pH calibrations, filtering acid batches, and assisting with HPLC, etc.). Conduct weekly physical inventory of finished product in our warehouse and compare numbers to daily production notebook/log. Take meeting minutes during the monthly meetings, or other meetings done with employees.
