Own the Process: An Accountant’s Perspective As business owners, we are in agreement that process is one of the most important aspects of the daily operations of a business enterprise. The process is the way it’s done, how things get accomplished and how actions are carried out; it spells out how we interact with customers, staff, the public and others. With a solid process in place, business operations run smooth and efficient, employees know how to handle different si...tuations, are prepared to resolve issues, address difficult situations and manage daily tasks in completing job assignments and meeting requirements of their position. Often, when process is examined in the accounting context, we find a mix of systems, solutions, tasks and duties within the back office environment. Sometimes there is no formal process in place. It’s simply a scattered approach to handling or taking care of the critical business activities. We find that there is little congruence with the multitude of processes, even some which are conflicting. Other times there is the rationale that it’s something we’ve always done even if upon closer examination there is either little reason it’s needed (isolated) or it conflicts with another process. It just seemed like a good idea can often be the description of what the purpose was. A solution to creating efficiency and effectiveness in the back office environment (accounting) is to prepare a map outlining the steps from beginning to end. Include a description of the process and the intended end result. The flow will provide visual insight to the actions and tasks necessary. Along the way, you can note potential conflicts, bottlenecks, duplication / redundancy and simply wasted efforts. As you refine the processes, be sure to solicit others for input and monitor the results and make necessary changes along the way. Then implement, monitor and fine tune as needed. AND REPEAT. Initially, be sure to: Not overcomplicate the process itself Summarize and prepare clear descriptions of the action steps Identify responsible parties (along the flow) Cross Reference to: o Similar processes o Forms used o A Flowchart o Reports & Samples Keep in mind the end game to ensure you achieve the desired result Understand the deviations that may occur along the way and address as needed Have a means of enforcement to ensure the process is being utilized Finally, remember these three mail goals or purposes: 1. To encourage uniformity in the completion of business transactions 2. To enforce the use of controls (accountability and responsibility with carrying out those business transactions) and 3.
